Most managed IT providers in Ontario don't publish prices, which makes it hard to know whether a quote is fair. Here's what the published guides say, what drives the price, and what to check before you sign. We publish our own prices, so you'll find those at the end.
Typical price ranges
Guides published by Ontario providers in 2026 put fully managed IT for small and mid-sized businesses at roughly $110 to $250 per user per month. One Ontario guide gives a typical range of $130 to $250, another $125 to $250, and a third says most SMBs pay $110 to $250, with lighter plans at $75 to $150. Toronto guides cluster around $120 to $250.
These ranges come from providers' own marketing, so treat them as rough. They do agree on one thing: a price well under $100 per user usually means monitoring only, with actual support billed by the hour.
The pricing models you'll see
Per user. One price per person, covering all of their devices. Simple, and usually best when each person has a laptop and a phone.
Per device. One price per computer or server. Often cheaper for offices with shared workstations, such as clinics and front desks.
Tiers. Most providers package per-user or per-device pricing into two or three levels, from basic helpdesk up to full security and compliance coverage.
Hourly break/fix. No monthly fee, but every problem is billed. Cheap in a quiet month and expensive in a bad one.
What's usually not included
Quotes are hard to compare because providers draw the line in different places. Ask whether each of these is included or extra:
- Microsoft 365 or Google Workspace licences
- Hardware, and the labour to set up new computers
- Onboarding fees for the first month
- On-site visits, and whether they're capped
- After-hours and weekend support
- Backup storage, and how long backups are kept
- Projects such as migrations, office moves or new servers
Red flags when comparing quotes
- A low monthly price with "support at our standard hourly rate"
- Multi-year contracts that renew automatically with a long notice period
- No written list of what's included
- No answer to "where is our backup data stored?"
- No plan for what happens if you leave, including who holds your passwords and documentation

We also review what you already pay for software and licences, which often offsets part of the cost. Here's how that works.
